Operations Assistant
Part-Time
Position
The Operations Assistant is instrumental in maintaining sound Museum operations. This position is flexible in responding to the immediate needs of the organization, facility, and staff. The Operations Assistant works closely with the Visitor Services Team and will report to the Director of Operations.
Responsibilities
- Organize and coordinate resources and processes for optimal operational efficiency. Identify gaps, offer solutions
- Uphold high standards for cleanliness and organization; monitor all work and public areas for physical appearance and functionality
- Maintain Altru point of sale functionalities: tickets, discounts, daily sales page , membership. Assist with Altru data pulls and reporting
- Maintain inventory for all products needed for general operations, anticipate order needs, submit expenses
- Maintain Give Shop inventory, implement effective merchandizing and promotions in conjunction with the Director of Marketing
- Compile monthly Operations Report for the Board of Directors
- Oversee vendor accounts; including Cox, add new employees as needed, record main phoneline holiday auto attendant messaging
- Intermediary between Museum and IT service company. Communicate needs or challenges, request quotes for new hardware as needed, purchase software
- Monitor and maintain Konica printer supplies through Konica’s supply and work order services
- Provide leadership and oversight for the Visitor Services Team
- Demonstrate excellent customer service as liaison to all museum visitors, partners and affiliates
- Assist with miscellaneous administrative tasks.
Qualifications
- Excellent creative thinking and problem-solving skills, organization and time management required
- Ability to perform multiple tasks in a timely manner with attention to detail
- Must be flexible in responding to the immediate needs of the organization
- 4+ years customer service experience and/or 2+ years of professional event coordination experience, with proven leadership skills
- Must be able to function in a high energy team environment.
